How to integrate paperless technology into disaster recovery plans

Though no one likes to think of disaster striking, it’s important to consider when a small business is deciding where to store its most important, sensitive data. While safety of employees always comes first, what will happen to the files that have built the company if a massive storm wipes out a building? Such thinking is the basis of any quality disaster recovery plan, one that cloud technology has continued to take a more prominent role in as paperless document management software becomes the most prudent choice on the market for both security and budget.

In case disaster strikes, all businesses should be ready to salvage their data and electronic workflow with these cold, hard truths.

What a disaster could mean for a business
No matter how unlikely tragedy may seem, it’s crucial for every organization, despite its small size, to protect themselves with a quality disaster recovery plan. Disaster Recovery Journal writer Matt Peterson wrote a piece on the dangers of leaving the data that makes a business run left to chance, citing a study by the U.S. Small Business Association in 2013.

“The U.S. Small Business Administration estimates that nearly 25 percent of all businesses will shut down shortly after a natural disaster,” the source explained. “To compound the problem, nearly 50 percent of American companies – small, medium and large – are likely to file for bankruptcy as a result of a natural disaster.”

Figures like this make it even more important for companies to prioritize document imaging workflow into their plans – storing data in the cloud will completely eliminate the chance that important documents would be lost in case of an emergency. This allows an organization to focus on other critical factors like protecting the safety and best interests of its workers and reinstating productivity remotely while tasks are completed to reverse any damage done on an office. Once this is complete, the organization can focus on getting back on its feet instead of spending months recovering necessary information to rebuild reputation among customers and other important records.

How to develop a disaster recovery plan for small business
Paperless technology is a must in the disaster recovery plan of today’s business, and finding where it belongs in the process can’t be overestimated. Document management software is largely based in the cloud, meaning that losing data will never be a risk even in the case of the largest disasters. This isn’t just valuable from a company perspective – according to HowStuffWorks contributor Dave Roos, this means that consumers will not lose any opportunity to engage with the brand.

“Customers expect essential online services like banking and e-mail to be accessible 24/7,” Ross explained. “These companies need to consider a lengthy list of potential disasters, both small and large, that could interrupt service to their clients and take steps to address all of them.”

If a company located in Arizona suffers from a disaster, it’s unlikely that a customer from overseas or even the next state over will be aware or sensitive to the issue. This is the nature of business – in today’s instant gratification society, missing a beat when it comes to upholding quality of service could mean a serious hit to incoming revenue.

Once all employees are safe and ready to work again, reinstating electronic workflow to keep the company running should be the main priority of all in charge of businesses large and small. With a solid disaster recovery plan that incorporates paperless technology, an organization can be ready for just about anything.
