Importing Data into Dynamics CRM 2011

Importing data into CRM 2011 is really quite easy. You can import into almost any object. Maybe the easiest way to get started is to go to a list view of an object into which you want to import data, and then click on the “Import Data” button. This will get you started.

You can select a preformatted mapping template or easily create your own. To get started with a new template, you’ll have to read in your source file. If the source file is too big you’ll have to just create a sample file with about 10 records in it. This will give the template an idea of what your source data looks like.

And then you just run the import. If you don’t get the results you want you can easily delete the new records right within the imports screen. You can also view the imported records and perform various tasks based on the type of object. For example if you imported a bunch of contacts, you can select a few or all of them and assign them to a specific Marketing List.

Make sure you check for duplicates if that’s appropriate.

You can also easily import sets of data, e.g. accounts and contacts. Just import the accounts first, and then the contacts.

You will import records to get your CRM system started. But you will also want to import records for other reason, on an on-going basis. For example, import all contacts your met at a trade show.
